Setting business hours and holidays

Organizations that cater to customers from different countries or have employees from around the world operate in regional offices typically adhere to multi-group working hours. This allows them to do business overseas and mark their global presence through wider rollout. Most of these organizations have customer support teams operating in different time zones and turn to providing timely help to customers. In order to ensure that customer tickets are not unattended, upgraded or overdue because they cannot get a support agent, working hours must be carefully scheduled.
Zoho Desk allows organizations to define multiple sets of business hours, enabling them to proactively assign and process customer queries.

Create business hours

Opening hours or operating hours help manage time-bound activities in an organization. For example, some businesses follow Sla policies that require customer support teams to resolve tickets within a specified time frame. For example, the SLA policy requires tickets to be resolved within 24 hours of submission, so ticket deadlines will be calculated based on working hours set for the organization.
Similarly, some automated operations, such as approvals, workflows, and blueprints, are time-bound to use working hours to calculate upgrades and deadlines.
In the Zoho table, you can set business hours for a specific time zone in three ways:
  1. 24x7 (always) - for organizations that work around the clock, i.e. 24 hours a day.
  2. Specific time - suitable for organizations working at specific times of the week. For example, Monday to Friday from 9:00 a.m. to 5:00 p.m.
  3. Custom Time - Applicable to organizations operating at different times of the week. For example, Monday from 9:00 a.m. to 2:00 p.m., Tuesday from 10:00 a.m. to 5:00 p.m., and so on.

      Click the date again to add more holidays to this list.

You can edit or delete business hours from the Opening Hours List page. Before deleting working hours, you must unravel the Sla and time-based rules associated with it.

Create a holiday list

Create holiday schedules to add exceptions to help Taichung configure business hours. The holidays you add will be treated outside of business hours, and Sla, blueprints, and time-based rules will ignore them when setting deadlines and triggering upgrades. You can create holiday schedules for multiple regions or time zones and then associate them with their respective business hours. For example, American holidays, British holidays and Australian holidays.
Notes
Contact information
  • You cannot create a list of two holidays with the same name.
  • You can't set part of a day as a holiday, such as a half-day.
  • You can't clone the holidays.

Associate holiday lists to business hours

Opening hours can be associated with holiday lists to ensure that tickets, Slas, or pending events are upgraded only during operating hours to prevent delays due to lack of access to support agents. Days marked as holidays will be excluded while setting deadlines and triggering upgrades to SLAs, blueprints and time-based rules. You can create holiday schedules for multiple regions or time zones, such as US holiday lists, UK holiday lists, Australian holiday lists, and more. It can be associated with their respective business hours.

Sla Behavior and Opening Hours

You can createService Level AgreementThis will match your business hours at the Zoho desk. When creating an SLA, you must enterResolution timeIf you wish to object to the processing set out under C-F and you cannot verify or authenticate your contact with __email0__ . In order, the resolution time will set the deadline for tickets. The behavior of business hours and the logic behind setting ticket deadlines are as follows:

For example, let's take the following business hours:
Monday to Friday: 9 a.m.-6 p.m.
Saturday: 9:00am to 1:00pm &
Sunday Sunday: Holidays

Resolution time set to hours
For example, you configure a Sla with a resolution time of 50 hours. In this case, tickets for Monday at 10 a.m. will expire next Monday at 11 a.m.
Remaining Monday hours: 8 hours (10:00am to 6:00pm)
Tuesday, Wednesday, Thursday and Friday opening hours (9 hours * 4 days): 36 hours
Saturday opening hours: 4 hours (9am-1pm)
Monday: 2 hours (9am-11am)
Deadline: Monday at 11:50 a.m.

Resolution time set to a few days
For example, the Sla resolution time you configure is 1 day. In this case, the deadline will be set based on the exact working day and working hours will not be taken into account. Please note that the calculation of the working day will include Saturdays (shown in the figure), although there are only 4 working hours.

Here are some examples when you set the resolution time to 1 day:
Tickets created:
  1. Monday at 10 a.m., if not a holiday, expires at 10 a.m. on Tuesday.
  2. Monday at 10pm, if not a holiday, expires at 6pm on Tuesday.
  3. Friday at 10pm, if not a holiday, expires at 1pm on Saturday.
  4. After work on Saturday or Sunday, it expires at 6 p.m. on Monday.

Disable business hours

Deactivate one business hour

    Opening hours will be deactivated and moved to the inactive list.



Delete Holidays

Sometimes, next year can't guarantee a holiday, or it falls on a rest day. You can remove these holidays from the list.

Deactivate holiday list

You can disable the holiday list if you need to. When you do so, the relevant business hours will not be suspended on any of the holidays to which they are affiliated.
